It’s actually quite easy to convert your standalone install to a server install. Here are the steps:

- If you’re moving the data from the current PC to a server, make a backup of your current data (File > Backup)

- Follow the Help / Tutorial instructions for the Network install

- Install any NEW workstations per the same instructions

- If you are converting a current CostGuard PC to act as a workstation, run the Configuration program to redirect CostGuard to the new data location:

- Activate the server (also in Help)

Generally, CostGuard users need FULL read and write rights to the following folders and their sub-folders:

    CostGuard Shared (on the server)
[Program Files]\CostGuard\CostGuard.ini

Common Advantage issues:

7013 Advantage server file access error

Advantage Error Guide

Problem 1: The user does not have sufficient access rights to open the specified file.

Solution 1: If you are using the Advantage Database Server for Windows NT/2000/2003, and your data files are located on a drive using NTFS, that PC’s “system” group must have full access to the share that contains the data in order for the Advantage Database Server service to have access to that data. Note that it must be that PC’s system group that has full access, not the domain’s system group.

Here is additional information and snips from other customer network admins:

Rights:

After searching around in the folders I found a few files that did not have permissions set for that user. Some how they never inherited full control for that user, everything is working fine now and I want to thank you all very much for your help and suggestions.

We have CostGuard V3 installed for a user and they are unable to run it, as they are not a local administrator of their computer. Due to security reasons we do not allow any of our users to run as administrators.

I think I have this resolved now actually – I made the user an admin temporarily, reinstalled the software as them, then removed the admin rights. It prompts for their password when launching but at least it works.

I’m using CostGuard with a Virtual Machine running windows server and citrix. I put the CostGuard shared folder in the main users directory instead of just on the C drive which forces me to grant each user rights to that users folder. Before I did that CostGuard would just crash on launch. Moral of the story don’t put the shared data folder in a users directory.

If the printer on your computer stops working and you need to print recipes from a computer that does not have CostGuard you can save those recipes to a file on an external drive (such as a thumb drive). Take that drive to another computer with a working printer. Save the file, open it and print.

Remember, you are saving this as a PDF file, not a CostGuard file.

The first step is to create one “master” recipe that links ALL of your recipes. Otherwise you will have to print each recipe individually.

Once you have this “master” recipe, open it.

1. Click on the printer icon at the top of the screen.

2. The box next to Print sub-recipes should be checked. The box next to PDF should be checked.

3. Click OK. All the sub recipes should alredy be selected with check marks. If not then click the Select All button at the bottom of this pop up screen.

4. Click Print. You will now see all your recipes on the screen.

5. Click File. Save a Copy. Click OK.

6. Now you will be asked where you want to save it. Save it to your external drive.

You now have all your recipes in a file that you can open on another computer.

If you need to change a price for an inventory item and you get the message “This field is disabled because there is an On-hand quantity for this item…” it means this item has already been counted.

As a way to create an audit trail CostGuard will only allow counted items to have a price change through Receipts or by zeroing out your count for that item.

If you have entered this item through a receipt you can click on Inventory/Receipts and choose the correct vendor. Then find the PO and enter the correct cost in the New Cost field. You must enter a number in the #Received Purch\Pack field.

If you did not use Receipts to enter the price originally then you have 2 choices:

1. If you only need to change one item you can count the item to zero in all locations. This will allow you to change the price in Inventory Manager.
When you have changed the price count it again so you show the correct number of that item on-hand.

2. Enter a receipt (create a receipt number) with the item at it’s correct price. Use the Fill in Transaction Records to display all the items by vendor. You will see the New Cost column is available for you to enter the new cost. In addition to the new cost you must enter a number in the #Received Purch\Pack field.
